Privacy Policy

• Account information — name, email address, phone number and password credentials managed by our authentication provider.
• Player and team profiles — fire department and station, jersey number, position, photo and division.
• Registration and form data — waivers, medical and emergency contact details you submit, plus the typed signature and timestamp for signed forms.
• Billing records — invoices, amounts owed, deposits, payment status and payment references. We do not store full credit card numbers.
• Activity records — an audit history of changes made to scores, invoices, registrations and settings by signed-in staff.

We use personal information to operate the league and the Toronto Southern tournament: to register teams and players, to build schedules and publish scores and standings, to issue and reconcile invoices, to keep waivers and eligibility records, and to contact you about your registration.

Player names, team, fire department, jersey number, position, photo and on-ice statistics are shown publicly on team and player pages. Station details are only displayed where a player has opted in. Email addresses, phone numbers, medical information, waivers and invoices are never public — they are visible only to the member, their team manager where applicable, and SOFFHL staff.

Registration and player fees are invoiced through this platform. Where card payments are enabled, they are processed by a third-party payment processor; card details are handled by that processor and are never stored on our servers. We retain only invoice, amount, status and reference data.

We do not sell personal information. We share it only with service providers who host the site, database, and payments on our behalf, with tournament hosts and arena operators where required to run an event, and where required by law.

Registration, waiver and financial records are retained for as long as needed for league operations and legal or insurance obligations. Access is restricted by role: staff permissions are granted individually, and every administrative change is written to an audit log.

You may review and update your profile at any time while signed in, and you may request a copy or deletion of your personal information. Deletion requests may be limited where a record must be kept for financial, insurance or safety reasons.

SOFFHL is an adult league for active and retired firefighters. Accounts are not intended for anyone under 18.
